What you bring to the table

The individual in this exempt position should have a minimum of 15 years of job, field or office administration experience. Individuals at this level should have satisfactorily managed multiple jobs with the size and scope up to and including $50 million in job volume. They will exercise supervision over a staff engaged primarily in reception, general field administration, administrative accounting, purchasing, personnel and office service activities. The position will provide direction and potentially have supervisory responsibility of receptionist and any other project/design accounting positions, but could also serve in a training or mentor capacity.

 The job involves the following essential functions:

  • Supervision of all receptionist/general office duties
  • Cash flow management
  • CMiC training for project management
  • Continuing education
  • Cost review with/for Project Managers
  • Ensure that all accounting processes are completed each month by administrative personnel
  • Interdisciplinary cross training
  • Serve as department administration manager
  • Electronic file structure development and enforcement
  • Equipment schedules
  • Finish schedules
  • Follow up with bids from subcontractors
  • Initial budget setup
  • Minority participation reporting
  • Mentor and/or training of all administrative personnel
  • Open and Close Jobs for Region (or department depending on size)
  • Owner compliance issues
  • Preconstruction Takeoffs
  • Product material management
  • Product representative coordination
  • Project administration management
  • Project closeout assistance
  • Projections
  • Review department P & L reports for reasonableness and accuracy
  • Review billings and journal entries prepared by others as needed
  • SDI management for region
  • WIP assistance and/or projections for hourly and reimbursable projects
  • Writing and issuing subcontracts

 You also meet the following requirements:

  • Bachelor's Degree in accounting or business administration
  • Experience with CMiC
  • Enhanced knowledge of principles of accounting, and business administration
  • Excellent written and oral communication skills
  • Enhanced understanding of mechanic's lien laws for the state in which work is being performed
  • Enhanced understanding of contract documents/owners/subcontractors/purchase orders
  • Enhanced understanding of Insurance Requirements owner/subcontractor, GL, WC, CCIP, OCIP, etc.
  • Must be able to prioritize workload, multitask and exercise outstanding organizational skills
  • Ability to work under pressure, be a team player and have a positive attitude
  • Long-term proven experience successfully working on multiple jobs /projects
  • Long-term proven experience successfully working with multiple managers

Physical Demands:

Frequently operates a computer and other office productivity equipment; occasionally ascends/descends ladders and stairs; constantly works in outdoor weather conditions; frequently moves equipment up to 50Ibs to various locations on site; constantly communicates with subcontractors, vendors, and other members of project team; constantly moving around job site; ability to adhere to consistent and timely attendance.
